Jobsite Administrative Assistant

We are looking for an Administrative Assistant to join our team in Phoenix, AZ to provide administrative support on our jobsites. This position will require travel to our jobsites in the Phoenix, AZ area.

 

Responsibilities for this position include:

  • Provide administrative support at the jobsite.

  • Responsible for all incoming telephone calls, faxes, and all typing requirements.

  • Responsible for collection, sorting, copying, and distribution of all incoming correspondence, including the timely transfer of paperwork between on-site office and main office.

  • Accountable for the upkeep of the common interior office area and maintenance on all office equipment at the jobsite trailer.

  • Produce and maintain all jobsite files and logs.

  • Responsible for setup and organization of jobsite office.

  • Produce all timecards via the computer, obtain signatures, and send payroll on a timely basis.

  • Prepare computerized Daily Production Worksheets. Review Monitoring Reports to ensure cost codes balance with Production Worksheet totals.

  • Produce Requisitions Forms with Foreman/Project Manager assistance and order all materials on-site. Verify Purchase Orders match Receivers.

  • Order all rented equipment and maintain Equipment Rental Log.

  • Maintain jobsite small tool inventory.

  • Price all Time and Material tickets (T&M) and Daily Acceleration Work tickets according to job negotiated rates/markups and produce cover letters. Also, verify T&M tickets with time cards to ensure all costs are accounted for.

  • Assist in the preparation of jobsite Quality Assurance program and maintain Q/A documentation.

  • Update trailer and field set of drawings/specs with all changes with assistance of Foreman/Project Manager as needed.

  • Attend and participate in all required company training programs.

  • Conform to all company policies and procedures.

  • Other duties as assigned

 

To be successful in this position, the candidate must have:

  • 1-2 years of administrative experience is preferred.

  • Ability to welcome and relate to all external and internal customers and phone customers in a professional and friendly manner.

  • Strong attention to detail with the ability to perform multiple tasks while maintaining quality and accuracy.

  • Knowledge of Windows based computer programs, including spreadsheets and word processing programs.

  • Bilingual (English/ Spanish) is a plus!
